Apex for Youth empowers underserved Asian and immigrant youth from low-income families in NYC to unlock their potential and a world of possibility. Through programming focusing on health and well-being, education, and community engagement, Apex for Youth creates transformative social connections and celebrates cultural identity to build the confidence and self-efficacy of future generations.

Apex serves approximately 2,500 students annually from Kindergarten through their post-secondary years. We provide children and young adults with opportunities to develop strong relationships with adults who volunteer as consistent and caring mentors and role models.

 

JOB OVERVIEW

Serving as an integral member of the senior management team, the Director of Finance and Operations is responsible for specific strategic initiatives and leadership in finance, human resources, information technology, facilities, and general administration and operations that support the work of all departments at Apex. The Director contributes to the development and execution of the organization’s strategic goals. The Director of Operations reports to the Executive Director, works closely with senior leadership, and supervises a team that includes the Deputy Director of Human Resources, Operations Manager, CRM and Data Systems Manager, Operations Coordinator, and Facilities Assistant.

 

RESPONSIBILITIES

Organizational Leadership and Strategy

  • Work with Executive Director and staff directors on essential internal leadership tasks related to administration, strategic, and organizational planning
  • Drive the organization’s long-term financial and operational planning with an emphasis on sustainability, operating strategy, and high performance
  • Promote a more data-driven approach in organizational and program practices; deliver status reports to Executive Director, senior leadership, Finance Committee, and Board of Directors
  • Lead financial strategy discussions with the Board, senior and staff leadership, and staff at large
  • Coordinate with senior leadership to ensure alignment of financial strategy, human resources, and operations within the functional priorities of the organization
  • Supervise and mentor a growing Operations staff team including the Deputy Director of Human Resources, Operations Manager, CRM and Data Systems Manager, and Facilities Assistant

Finance Leadership

  • Lead budgeting processes, financial reporting, process documentation and assessments of organizational financial performance against goals
  • Develop and maintain a culture of transparent reporting around financial position
  • Manage relationships with external accounting vendors to manage reporting, audit and tax filing processes
  • Monitor cash flow, oversee accounts payable and receivable, and manage investments
  • Provide financial analysis support for strategic decision-making, including identification and analysis of financial and legal risks, and developing sustainability and growth strategies
  • Work in collaboration with the Development team to support Development Operations Manager with tracking of funds expended and remaining balances

Human Resources

  • Through supervision of and collaboration with the Deputy Director of Human Resources, oversee Human Resources
  • Represent key elements of Human Resource functions in organizational strategy in the areas of staffing plans, budget, performance management, compensation strategy, professional development, talent acquisition and retention, policy development, and HR compliance.

Information Technology Leadership

  • Ensure key elements of a successful IT strategy are in place, including integrated and well-functioning hardware and replacement cycles, cybersecurity, accessibility, and connectivity
  • Ensure CRM and Data systems are developed to support the needs of departments and scaled in accordance with Apex’s strategic goals

General Operations

  • Ensure legal compliance, including the development and implementation of policies, and records/document management.
  • Through supervision of and collaboration with the Operations Team, ensure Apex programming and office operations facilities are well-supported
  • Represent the organization externally, as necessary, in operations relationships such as banking and real estate negotiations
  • Manage relationships with vendors and advisors that support operations, such as accounting, insurance, and legal counsel
  • Manage internal communications and issues related to administration, organizational planning, physical office space, and information technology

 

QUALIFICATIONS

  • 10+ years of progressive experience in non-profit finance and operations leadership roles.
  • Bachelor’s degree required; CPA or MBA a plus
  • Strong knowledge of US GAAP and compliance
  • Previous experience leading a finance team required; prior experience leading operations (HR, IT, Facilities) a plus
  • Demonstrated ability to develop robust financial models, reporting, and internal controls.
  • A strategic thinker and effective analyst who understands how operations and finances support the broader mission of the organization
  • Proven skills in driving operational efficiency and process improvement, including demonstrated experience with and passion for common and new technologies that promote efficient and safe organizational management and collaboration.
  • Experience managing business functions including the full cycle of human resources activities, IT, procurement and contracting, and facilities.
  • Strong leadership and people management skills with experience managing cross-cultural teams, supporting cross-functional collaboration, developing staff, and setting clear goals.
  • Inclusive leadership skills, including the ability to foster an inclusive work environment, encourage diverse perspectives and build diverse teams.
  • Excellent communication skills with the ability to present complex data and work with different communication styles.
  • Adaptable and able to serve as a thought partner to other leadership team members.
  • A collaborator who is skilled at presenting to audiences with varying levels of understanding of financial statements.
  • Ability to handle sensitive and/or confidential information appropriately.

 

Overview of Benefits

Paid time off: In the first year of employment, employees are eligible for approximately a combined 40 days of vacation, holiday, personal, and sick leave (10 vacation days, 12 paid holidays, org-wide closures for one week over the winter holidays and one week during the Fourth of July, 5 sick days per year, 3 personal days a year). Additional vacation days accrue according to years worked in the organization.
