Apex for Youth empowers underserved Asian and immigrant youth from low-income families in NYC to unlock their potential and a world of possibility. Through programming focusing on health and well-being, education, and community engagement, Apex for Youth creates transformative social connections and celebrates cultural identity to build the confidence and self-efficacy of future generations.

Apex serves approximately 2,000 students annually from Kindergarten through their post-secondary years. We provide children and young adults with opportunities to develop strong relationships with adults who volunteer as consistent and caring mentors and role models.

 

JOB OVERVIEW

The Operations Coordinator plays a pivotal role in supporting the organization’s operations, encompassing various departments such as HR, Finance, IT, Facilities, and Program Support. This position is a key player in maintaining the seamless flow of Apex’s day-to-day operations and is essential in providing support to both the Operations Team and the Programs Administrative Team. The Operations Coordinator also serves as a vital link between Operations and Program Departments. The Operations Coordinator reports to the Director of Operations and works closely with the Operations and Program administrative teams.

 

RESPONSIBILITIES

Operations (HR, Finance, IT and Facilities)

  • Assist in managing HR administration, including collection of documents and timesheets
  • Support the entering and coding of payables for vendors and employee reimbursements, as well as the retrieval and coding of credit card receipts
  • Support with the management of physical tech inventory (laptops, accessories, printers)
  • Play a role in the development of more efficient processes, systems, and technologies
  • Assisting with budget management and financial recordkeeping for program departments

Facilities Management:

  • Monitor and maintain office, event, kitchen, bathroom, and program supplies
  • Order supplies as needed and maintain inventory with the Facilities Assistant
  • Manage food, drinks, and services for special events hosted by the organization
  • Support the setup of furniture, A/V equipment, and technology for events and programs
  • Ensure the office is welcoming, clean, and well-maintained
  • Support facilities operations and ensure smooth daily operations

Program Operations Support:

  • Collaborate with program staff to ensure that processes around data entry and programmatic outcomes tracking are maintained
  • Support processes across program departments, such as creation and tracking of forms, distribution of program materials such as supplies, snack and MetroCards and other tasks
  • Manage program wide record keeping and file storage
  • Provide administrative support to Apex’s Mental Health Team to ensure program smoothness, including calendar maintenance and communication processing

 

QUALIFICATIONS

  • 2+ years in a youth focused program or operations role required
  • Strong verbal and written communications skills with high attention to detail
  • Excellent interpersonal skills with the ability to manage sensitive and confidential situations with thoughtfulness, discretion, professionalism, and diplomacy
  • Excellent task, time, and project management skills; ability to set goals and objectives, and use tools to update projections regularly
  • A genuine passion for and commitment to Apex’s mission; ability to creatively and effectively share organization’s work with stakeholders
  • Ability to be proactive and think strategically across multiple, concurrent projects
  • Positive “can do” attitude, flexible, team-oriented, results-driven, and shows initiative
  • The ability and willingness to occasionally attend evening and weekend events, and to travel for specific meetings in the tri-state area
  • Salesforce and Google Workspace experience preferred
  • Candidates are expected to be able to commute to the Apex office in Manhattan at least 3 days a week
  • Ability to work Saturdays as needed (and take Sunday and Monday as the weekend on those weeks), and some evenings as needed

 

Salary range: The salary range for this position is $50,000 – $56,000, depending on experience.

 

Overview of Benefits

Paid time off: In the first year of employment, employees are eligible for approximately a combined 40 days of vacation, holiday, personal, and sick leave (10 vacation days, 12 paid holidays, org-wide closures for one week over the winter holidays and one week during the Fourth of July, 5 sick days per year, 3 personal days a year). Additional vacation days accrue according to years worked in the organization.
